Fix: Unable to Share or View a Shared Calendar in MS Outlook

Sharing calendars in MS Outlook is essential for team collaboration, but it’s notorious for “permission denied” errors or calendars that simply appear blank. Whether you can’t send an invite or you’ve accepted one that won’t open, the issue usually stems from permission mismatches, sync settings, or a glitchy Autodiscover service.

Here is how to fix calendar sharing issues and get your team’s schedule back in sync.


Solution 1: Reset “Shared Calendar Improvements” (M365 Users)

Microsoft introduced a “New Sharing Platform” for 365 users. While faster, it frequently causes calendars to appear blank or fail to sync.

  1. Go to File > Account Settings > Account Settings.
  2. Select your email and click Change.
  3. Click More Settings > Advanced tab.
  4. Look for Turn on shared calendar improvements.
    • If it’s ON, try turning it OFF.
    • If it’s OFF, try turning it ON.
  5. Restart Outlook and check the shared calendar again.

Solution 2: Verify Permission Levels

“Reviewer” is the standard, but sometimes the hierarchy gets stuck.

  1. If you are the Sharer: Right-click your Calendar > Properties > Permissions.
  2. Ensure the person is listed. Change their level to Reviewer (or higher).
  3. Pro Tip: Check the “Other” section at the bottom of the permissions tab. Ensure “Folder Visible” is checked; without this, the recipient can’t even see the calendar in their list.

Solution 3: The Manual “Open” Method

If the link in the email invitation fails, try “pulling” the calendar manually.

  1. Go to the Calendar view in Outlook.
  2. On the Home tab, click Add > Open Shared Calendar.
  3. Click Name to find the person in the Global Address List (GAL).
  4. Select them and click OK. This bypasses the need for the original email link.

Solution 4: Clear the Auto-Complete Cache

If you are trying to share with someone and getting an immediate “Error while preparing to send,” Outlook might be using an old, cached email address for them.

  1. Start a new email and type the person’s name.
  2. When the name pops up, click the “X” next to it to delete the cached entry.
  3. Re-type the full email address manually and try sharing the calendar again.

Solution 5: Run the Autodiscover Test

If Outlook can’t “find” the other person’s calendar on the server, Autodiscover is likely failing.

  1. Hold Ctrl and right-click the Outlook icon in your System Tray (near the clock).
  2. Select Test Email AutoConfiguration.
  3. Enter your email/password, uncheck the “Guessmart” boxes, and click Test.
  4. If the Results tab doesn’t show a “Succeeded” message, your Outlook profile cannot communicate correctly with the server to pull shared data.
