When you click “Send/Receive” in Outlook, you expect it to grab your new messages quickly. But sometimes you’re met with a timeout error:

“Task ‘your email address’ reported error (0x8004210A): ‘The operation timed out waiting for a response from the receiving (POP) server. If you continue to receive this message, contact your server administrator or Internet service provider (ISP).’”

This error indicates that Outlook sent a request to your POP (Post Office Protocol) server, but the server didn’t respond within the allowed time. It’s a frustrating interruption, but almost always fixable.


What Causes Error 0x8004210A?

The error is specific to the incoming POP server (not SMTP). Common triggers:

  • Server timeout set too low – The default is often 1 minute; some servers are slower.
  • Incorrect POP settings – Wrong port (e.g., using 110 instead of 995) or encryption mismatch.
  • Network latency or instability – High ping or packet loss delays responses.
  • Firewall or antivirus scanning – Intercepting POP traffic, causing delays.
  • Server‑side issues – The email provider’s POP server is overloaded or slow.
  • Corrupted Outlook profile – Profile issues can increase response times.

How to Fix Outlook Error 0x8004210A

Work through these solutions in order. Keep your email provider’s POP settings handy.


1. Check Your Internet Connection

Slow or unstable connections can cause timeouts.

  • Run a speed test. High latency or packet loss can trigger this error.
  • If you’re on Wi‑Fi, try a wired connection.
  • Restart your router and modem.
  • If you’re on a VPN, disconnect and test; some VPNs add latency.

2. Temporarily Disable Antivirus & Firewall

Security software can delay POP responses by scanning incoming traffic.

  • Antivirus: Disable it temporarily and test.
  • Windows Firewall: Go to Control Panel → Windows Defender Firewall → Allow an app or feature. Ensure Microsoft Office Outlook is checked for Private and Public networks.

If the error disappears after disabling, add an exception for outlook.exe or configure your software to allow POP traffic (port 110 for non‑SSL, 995 for SSL).


3. Increase Server Timeout

This is the most direct fix. Outlook gives the server a limited time to respond; raising that limit can resolve the issue.

  1. In Outlook, go to File → Account Settings → Account Settings.
